This Privacy Policy explains how Deutsch-Japanische Weinwirtschaftsinitiative e.V. (DJWI) processes personal data in accordance with Articles 13 and 14 of the General Data Protection Regulation (GDPR) when you use this website, apply for membership, use membership administration, participate in events, use the members area or take part in DJWI Wine Panels and surveys.

DJWI is a registered association based in Berlin, Germany. Its processing of personal data is governed in particular by the GDPR and supplementary German data-protection law. This also applies to members and prospective members resident or established in Japan insofar as their personal data are processed by DJWI.
The website is hosted by STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany. When the website is accessed, the hosting provider processes technically necessary connection data, including IP address, date and time, requested file, transferred data volume, browser type, operating system and, where applicable, referrer URL. Processing is based on Article 6(1)(f) GDPR for the secure, stable and efficient provision of the website. Where STRATO processes data on our behalf, this is based on an agreement pursuant to Article 28 GDPR.
If you contact us by email or through a contact function, we process the information you provide in order to handle your enquiry. The legal basis is Article 6(1)(b) GDPR where the enquiry relates to initiating or carrying out membership or another contractual relationship. In other cases, processing is based on Article 6(1)(f) GDPR; our legitimate interest is the proper handling of incoming enquiries.
When applying for professional or private membership, we process in particular name or company, email address, city/country, where applicable contact person and position, website and information voluntarily provided about background and interest in DJWI. These data are required to review the application, ask follow-up questions, prepare the admission decision and—if admitted—set up membership. The legal basis is Article 6(1)(b) GDPR. Separate consent is not required for processing that is necessary for the admission process. The checkbox confirming that the privacy information has been read serves only to document that the information was available; it is not consent to processing required to handle the application.
After admission, we process the master data, contact data, membership category, contribution and billing information, communication history and information required to classify the member under the contribution rules. The legal bases are Article 6(1)(b) GDPR and, where statutory retention or evidence obligations apply, Article 6(1)(c) GDPR.
Once activated, a member may add a personal profile. For professional members this may include company, function, region, professional fields, interests, website and contact permissions selected by the member. Processing is necessary to provide the members area and facilitate networking within the association and is based on Article 6(1)(b) GDPR. Direct contact details such as personal email address or telephone number are shown to other professional members only where the member has expressly enabled this in the profile. Private members do not receive general access to direct contact details of professional members.
Private members may voluntarily provide information about wine consumption and preferences, such as average price per bottle, purchase frequency, preferred countries of origin, grape varieties, wine categories, styles, purchasing channels and level of experience. These details are used to identify suitable participants for DJWI Wine Panels, consumer tastings or surveys. Because these data are not required for membership, processing is based on voluntary consent under Article 6(1)(a) GDPR. Consent can be withdrawn at any time with effect for the future without affecting membership.
If members register for an event, DJWI Wine Panel or survey, we process the registration and contact data required for the respective activity. The legal basis is Article 6(1)(b) GDPR. Where members are specifically invited on the basis of a voluntary Consumer Profile, this is done only within the scope of the consent given under Article 6(1)(a) GDPR. If photographs or video recordings are to be used for public relations or documentation, separate information on purpose, scope and legal basis will be provided for the respective event.
Within DJWI, personal data are accessible only to persons who require them for association administration, communication, event organisation or technical administration. External service providers receive data only where this is necessary for their service and a valid data-protection basis exists. Processors are contractually bound pursuant to Article 28 GDPR where required.
Because DJWI connects members and activities in Germany and Japan, personal data may in certain cases be transferred to recipients in Japan, for example where a professional member enables contact data for networking or an event is organised jointly with a Japanese partner. The European Commission has adopted an adequacy decision for Japan under Article 45 GDPR. Transfers are nevertheless limited to what is necessary for the relevant purpose or has been initiated by the member through an appropriate contact permission.
Personal data are stored only for as long as necessary for the respective purpose. Data from rejected or withdrawn membership applications are generally deleted no later than six months after the admission process has been completed unless legal grounds require longer storage. Member data are processed for the duration of membership and subsequently deleted or restricted unless statutory retention obligations apply. Accounting and tax-relevant documents may be retained for the applicable statutory periods. Voluntary profile and preference data are deleted when the member removes them, withdraws the underlying consent or the purpose ceases to apply.
The current website does not use analytics or marketing tools, external fonts or social-media plugins. Technically necessary local storage may be used only where required for a specific function. Non-essential cookies or comparable access to the user’s device will be used only after valid consent has been obtained, and this Privacy Policy will be updated before additional services are introduced.
The production website is made available via HTTPS/TLS. This protects transmitted data against unauthorised access during transmission.
Subject to the statutory requirements, you have in particular the right of access under Article 15 GDPR, rectification under Article 16 GDPR, erasure under Article 17 GDPR, restriction of processing under Article 18 GDPR, data portability under Article 20 GDPR and objection under Article 21 GDPR. Consent may be withdrawn at any time with effect for the future pursuant to Article 7(3) GDPR.
You have the right to lodge a complaint with a data-protection supervisory authority. The authority particularly responsible for DJWI is the Berlin Commissioner for Data Protection and Freedom of Information, Alt-Moabit 59–61, 10555 Berlin, Germany, email: mailbox@datenschutz-berlin.de.
DJWI currently makes no decisions concerning membership or participation in association activities solely by automated processing within the meaning of Article 22 GDPR. Profile characteristics may support the selection of participants for Panels, but the final decision is made by people.
This Privacy Policy will be updated if the website, members area, service providers or data-processing activities change. The version published on this website is the applicable version.
